Please take time to read the follow information as this relates to you as a holidaymaker and customer of Halcyon Cycling Holidays Ltd.
When planning a cycling holiday, it’s important to choose a trip that matches your fitness level, cycling experience, and desired challenge. Below is an explanation of our cycling difficulty grades, designed to help you select the perfect adventure. Each grade features suggested daily mileage, ascent ranges, terrain descriptions, and the type of cycling experience you can expect.
This grade is ideal if you’re looking for a leisurely cycling experience at a gentle pace, with plenty of time to enjoy the scenery and socialise with fellow cyclists.
This grade is best for riders wanting a bit more mileage and adventure, challenging themselves on varied terrain without it being overly demanding.
If you relish a challenge and want to push your limits, this grade offers rewarding routes with substantial climbs and longer daily distances, perfect for the committed cyclist.
Consider your current fitness, cycling experience, and what you want to get out of your holiday. Whether you’re after a sociable, relaxing ride or an exhilarating challenge, there’s a grade to suit you.
We offer a range of high-quality accommodations, such as hotels, B&Bs, inns, and family-run guesthouses that cater to cyclists, are conveniently located near cycling routes, and reflect the unique charm and hospitality of the region. Whenever possible, we choose locally owned establishments and those serving regional food, drinks, and specialty products, all in support of sustainability and our commitment to responsible travel.
Uniquely, Halcyon also uses shared cottages and houses, which helps to keep our prices competitive. All these accommodations are owned by locals and offer exceptional quality. You also have the opportunity to enjoy ‘extra facilities’ such as a shared kitchen, lounge, dining rooms etc. See the trip description to determine the accommodation offered. For all trips, we use double or twin-share rooms; rooms for sole occupancy are available for an extra charge, depending on availability at the time of booking. Please note on some trips there is no sole occupancy (read the specific trip description and price section) to determine if a supplement applies.
If you don’t own a suitable bike or would prefer to avoid bringing your own, we can arrange bike hire for you on request. Most of our cyclists like to bring their own, but we can arrange this at an extra charge. Please inform us at the time of booking and we can confirm arrangements for you. We pride ourselves with working with local providers that can supply bikes. You will need to contact the local provider to confirm arrangements. All prices and availability is on a request basis. Halcyon Cycling Holidays does not own a bike hire fleet.
If you are travelling overseas, hire bikes might have a different brake set-up to what you are used to. In the UK typically the front brake is operated by your right hand, and the rear brake will be operated by your left hand.
Halcyon Cycling Holidays requests that all travellers carefully review the following information, as it may impact your safety, the safety of others in your group, as well as our staff and service providers during your trip.
While the actual risk associated with the activities on our holidays is generally low, some risks may be unfamiliar. For clarity, the environments and situations you may encounter on one of our cycling trips include:
Cycling on roads, lanes, and tracks: Encounters with traffic, bollards, or street furniture are possible. It is essential to cycle safely, respectfully, and conscientiously, especially within a group setting. The use of a cycle helmet is mandatory on all trips.
Physical activity levels: Activities may require higher levels of physical effort than your daily routine.
Bicycles: Riding a bicycle in unfamiliar locations, combined with human error, can increase accident risk.
Group cycling: Navigating in groups, particularly in new environments, may present additional challenges and risks.
Weather changes: Sudden weather shifts can introduce hazards such as slippery surfaces, rock falls, lightning, or floods.
Slips and trips: Slips, trips, and falls—both on foot and from bikes—are more likely on holiday than in daily life.
Loss or damage: Trip environments and activities can heighten the possibility of loss or damage to yourself, your belongings, or equipment.
Halcyon Cycling Holidays is committed to providing a safe environment for every activity; however, safety is a shared responsibility among all participants. Your responsibilities include:
Medical disclosures: Please inform us of any medical conditions or injuries, past or present, that could affect your participation. This should be communicated at booking, or as soon as possible thereafter, to ensure appropriate arrangements can be made.
Drugs and alcohol: Engaging in activities, especially cycling, while under the influence of drugs, alcohol, or illicit substances is strictly prohibited. Halcyon Cycling Holidays reserves the right to prevent participation if impairment is suspected.
Behavioural standards: Our holidays foster positive social experiences. Unruly, aggressive, or inappropriate behaviour towards fellow guests, staff, or the broader community will not be tolerated. Anyone displaying such conduct may be removed from the holiday.
Phobias and concerns: If you have significant fears, phobias, or anxieties regarding any aspect of your holiday, please notify us. We are dedicated to supporting our customers and will make every effort to address your concerns.
Instructions from guides and staff: It is vital to follow all instructions and directions provided by guides, staff members, agents, or suppliers representing Halcyon Cycling Holidays. In cases where adverse weather or other factors render cycling unsafe, guests disregarding guidance do so at their own risk, and Halcyon Cycling Holidays assumes no responsibility.
Thank you for reviewing and considering this Disclosure of Risk statement.

These Booking Conditions constitute the terms of your contract with Halcyon Cycling Holidays Ltd (company number 14386348), located at 26 Wood Walk, Royston, Barnsley, South Yorkshire, S71 4FH (“we”, “us”, “our”). Please read these conditions carefully, as they outline our respective rights and obligations. Within these Booking Conditions, references to “you” and “your” pertain to the lead booking individual as well as all persons included in the booking or any person subsequently added to or substituted on the booking.
When a booking is made, the lead person listed on the reservation confirms on behalf of everyone included that:
Your booking is confirmed once you pay a deposit (or the full amount if your departure is within 60 days) and we send you a booking confirmation. All reservations are subject to the eligibility criteria outlined in section 2. We reserve the right, at our discretion, to refund your deposit and refuse to confirm your booking. Once you receive a booking confirmation—which details your reservation—a binding contract between us will be formed. Section 14’s accommodation terms also apply to your booking.
If any information on your booking confirmation or associated documents is incorrect, please contact us immediately. Changes cannot be made later, and failing to notify us of errors within fourteen days of receiving your documents could affect your rights.
The remaining balance for your arrangements (including any surcharges) is due at least 60 days before your scheduled departure. We’ll send you a payment reminder ahead of this deadline. If you don’t pay the balance in full and on time, we may treat your booking as cancelled, and your deposit will be forfeited.

By booking with Halcyon Cycling Holidays Ltd, you acknowledge the inherent risks and dangers associated with participating in a cycling holiday. Activities may involve exposure to hazards such as cycling on uneven surfaces, adverse weather conditions, proximity to vehicular traffic, and other inherently risky undertakings. You accept that participation entails personal risk, including the possibility of injury, death, or loss/damage to property.
Participants are required to mitigate these risks by complying with all instructions provided by the guide or tour leader and as outlined in the route map, and by taking all reasonable steps to safeguard personal safety throughout the holiday. It is your responsibility to ensure you possess a sufficient level of fitness for your chosen holiday (refer to section 13 - Disabilities and Medical Problems). Generally, a satisfactory fitness level is indicated by the ability to complete daily cycling within the timescale set by the guide or tour leader, commonly by 6pm-6.30pm local time. Should you finish beyond this timeframe, continued participation will be at the absolute discretion of the tour leader.
All safety advice and instructions from the guide or tour leader must be followed, and participants are required to always wear appropriate clothing and a cycle helmet whilst cycling.
If using your own bicycle, it must be suitable for the duration and nature of the holiday route. You are responsible for transporting your bicycle to the holiday location and ensuring it is adequately insured against loss or damage during the trip. While Halcyon Cycling Holidays Ltd endeavours to maintain the safety of bicycles, the company assumes no responsibility for any damage, loss, or theft that may occur.
Bike hire is available up to the start date of your holiday, subject to availability. If you opt for bike hire, the bicycle will be provided at the commencement of the holiday by our designated third-party provider and must be returned to them upon conclusion of the trip. Halcyon Cycling Holidays Ltd does not own a bicycle fleet for hire or accept responsibility for you booking of a bicycle, it’s condition and availability on the day of hire.
We aim for accuracy in our advertising, but errors may occur; we reserve the right to correct prices, information and details as needed. You must check all current prices, information and details before booking.
You must have adequate travel insurance as part of your contract with us. Ensure your policy covers all personal needs, including pre-existing conditions, cancellations, medical expenses, and repatriation. If you travel without proper insurance, we are not responsible for any losses that insurance would have otherwise covered.
We reserve the right to adjust the prices of unsold holidays at any time and to correct any errors in the prices of confirmed bookings. Additionally, we may increase the price of confirmed holidays solely to reflect increases that directly result from changes in:
These variations may also arise from changes in the costs included in our contracts with accommodation providers (and their agents), transfer operators, or other transport suppliers. You will be liable for any price increase in accordance with this clause. However, should the increase exceed 8% of your confirmed holiday’s total price (excluding insurance premiums, amendment charges, and/or additional services or travel arrangements), you may choose either to accept an alternative holiday (if available; with a refund for any lower-priced option) or to cancel your booking for a full refund of monies paid, except for insurance premiums and any amendment charges and/or additional services or travel arrangements. If you choose to cancel under these circumstances, you must notify us within seven days from the issue date on your final invoice. We will consider refunding insurance premiums if you can demonstrate that your policy cannot be transferred or used elsewhere.
If the price of your holiday decreases due to the aforementioned factors, you will be refunded the difference, less a £10 administrative fee. Please note that travel arrangements are not always procured in local currency; therefore, some apparent changes may not affect your travel price because of existing contractual and other protections.
No price adjustments or refunds will be made to your confirmed holiday within 30 days of departure.
No price adjustments or refunds will be made to your confirmed holiday within 30 days of departure.
These Booking Conditions and any related agreements are governed by English law. Disputes or claims will be handled exclusively by the Courts of England and Wales, unless you reside in Scotland or Northern Ireland and prefer to choose their laws and jurisdiction.
If you return home early, we cannot refund unused travel arrangements. If you cut your holiday short without reasonable cause for complaint, no refund or compensation will be provided for the unused portion or related costs. Your travel insurance may cover curtailment; please contact your insurer directly for claims.
If you need to change any part of your booking after you’ve received a confirmation invoice, please let us know in writing (including email) as soon as possible. Only the lead name on the booking can make this request. We’ll do our best to help, but there’s no guarantee that we’ll be able to accommodate your changes. If we can make the changes, you’ll need to pay any additional costs or charges that we or our suppliers incur. These charges might increase the closer you are to your departure date, so contact us promptly. If we can’t help and you decide not to keep your original booking, it will be treated as a cancellation by you and a cancellation fee may apply according to clause 9.
Transfer Of Booking:
If you or someone in your party can’t travel, their place can be transferred to another person if these conditions are met:
Both you and the new traveller are responsible for paying all amounts owed. If you can’t find a replacement, cancellation charges described in clause 9 will apply to cover our estimated expenses. No refunds will be given for passengers who don’t travel or for unused services.
Important Note: Some arrangements can’t be changed or transferred once confirmed and changing them could result in a cancellation charge of up to 100% of that part of the booking.
If you or any member of your party decides to cancel a confirmed booking, please notify us in writing, including by email. The cancellation will be effective only upon our receipt of written notification at our offices, with the effective date being the date on which we receive your notice.
Because there are costs involved in cancelling your arrangements, you will be required to pay the following cancellation fees:
| Cancellation | Charge |
|---|---|
| More than 60 days before start date | Deposit |
| 60 - 0 days | 100% |
Important Note: Certain arrangements may not be amended after they have been confirmed. Any changes or cancellations may result in a charge of up to 100% of the affected arrangements. If your insurance policy covers the reason for cancellation, you could reclaim these fees. Cancellation charges will be deducted from payments you've already made where possible.
As we plan and organise your holiday arrangements well in advance, there may be occasions when changes or cancellations are necessary. We reserve the right to modify or cancel your booking at any time.
Changes: In the event of a minor change to your holiday, we will make reasonable efforts to notify you as soon as possible if time permits before your departure. However, we accept no liability for minor changes. An example of a minor change includes an adjustment to accommodation of equal or higher standard.
On some occasions, it may be necessary to make significant changes to your confirmed arrangements. Examples of significant changes made prior to departure include:
Cancellation: We will not cancel your travel arrangements within 60 days of your scheduled departure except in cases of Force Majeure or failure on your part to pay the final balance. Should cancellation occur prior to this date, for instance if the minimum number of participants is not met, we will promptly inform you.
If a significant change or cancellation occurs, we will notify you as soon as possible. Provided sufficient time before departure, you will be offered the following options: Acceptance of the revised arrangements. Full refund of all payments made. Acceptance of an alternative holiday, where available, with any price difference in your favour refunded if the new option is of lesser value. Please notify us of your decision within seven days of receiving our offer. If we do not receive your response in this timeframe, we will follow up; further failure to respond will be taken as acceptance of the altered or alternative arrangements.
Compensation
You will receive a full refund and compensation in these cases:
You may claim additional compensation if entitled as follows:
| Period before departure in which we notify you | Amount you will receive from us* |
|---|---|
| More than 60 days | £0 |
| 60-43 days | £10 |
| 42-29 days | £20 |
| 28-15 days | £30 |
| 14-0 days | £40 |
*IMPORTANT NOTE: We will not pay you compensation in the following circumstances:
If we cannot provide key parts of your booking after departure, we will organise alternative arrangements at no extra charge and offer a price reduction if these are of a lower standard.
Unless otherwise explicitly stated within these Booking Conditions, we are not liable nor obligated to provide compensation if our contractual commitments to you are impacted by "Events Beyond Our Control" or Force Majeure. For the purposes of these Booking Conditions, Events Beyond Our Control refer to circumstances beyond our or our suppliers’ reasonable control, whose consequences could not have been avoided even with all appropriate precautions. Such events include, but are not limited to, warfare and acts of terrorism (including threats thereof), civil unrest, significant health risks such as serious disease outbreaks at the destination, natural disasters including floods, earthquakes, or adverse weather conditions that prevent safe travel to or within the destination, actions of government authorities (including port or river authorities), industrial disputes, strikes, lockouts, closures, natural or nuclear disasters, fire, chemical or biological incidents, unavoidable technical transport problems, and other similar events outside our or our supplier’s control.
Please advise any special requests (e.g. diet, room location, hotel facility) when booking and confirm them in writing. We will try to accommodate reasonable requests but cannot guarantee fulfilment. Noting a request on your invoice or other documents does not mean it will be met. Missing a special request is not a contract breach unless we have specifically confirmed it. Bookings cannot be made conditional upon special booking requests.
We are not a specialist disabled holiday provider, but we will do our best to meet your needs. Please inform us of any medical conditions or disabilities before booking so we can advise on suitability; a doctor's certificate may be required. If we cannot accommodate your requirements, we may decline or cancel your booking and apply cancellation charges if necessary. If undisclosed issues arise during your holiday that affect safety, we may postpone, restrict, or cancel your participation in cycling activities at the guide or tour leader’s discretion.
B&B Option & Double Or Twin/Triple Or Shared Houses
If you select the B&B only option, your accommodations will include a variety of B&Bs, hotels, and country pubs. We also offer shared houses as an accommodation preference too. In shared houses, you may be allocated provision with others of the same sex, or a mixed arrangement with other couples or solo travellers. Friends travelling together will share a twin room, while couples can opt for a double or a twin room if they prefer. Solo travellers will be paired with another group member in a twin or triple room of the same sex. Please note that actual overnight stays might differ from those initially advertised; if changes occur, you’ll stay at an alternative accommodation of equivalent quality nearby. Most rooms provided are en-suite, though you may occasionally be placed in rooms without private bathrooms or shared houses where facilities are communal.
Sole Use Of A Double/Twin Room Option
Choosing this option ensures a private double or twin room for sole occupation every night of your trip, almost always with en-suite facilities. On rare occasions, you may have to share a bathroom or maybe allocated a twin room if a double is unavailable.
Single Room Option
Choosing the single room option gives you a private room—either a single or a double for single use—with either en-suite or shared facilities.
We do our best to make sure your holiday goes smoothly. However, if you experience any issues during your trip, let both your supplier (such as your hotelier) and your guide or tour leader know right away—they will work to resolve the issue. If your complaint isn’t sorted out locally, you can call us at 01226 700428.
If you’re still dissatisfied and wish to take things further, please send us a formal written complaint at our office—ideally within 28 days after your stay ends. Be sure to include your booking reference and any other relevant details. Keeping your letter concise and clear will help us identify your concerns quickly and respond sooner. Not following these steps might limit our ability—and that of the supplier—to look into and investigate your complaint and could impact your rights under this contract.
We expect all customers to maintain respectful and appropriate conduct, ensuring they do not disrupt the experience of others. Should it be determined—by our staff, a hotel manager, guide, tour leader, support staff or any authority figure—that your behaviour, or that of anyone in your party, is causing or may cause distress, danger, annoyance to others, property damage, or disruptions to transportation schedules, we reserve the right to terminate your booking immediately. Upon such termination, our obligations to you and your party will cease, and you must vacate your accommodation and end any related arrangements without delay. No refunds will be issued for unused accommodation or services, nor will we compensate for any expenses incurred because of this action.
Additionally, you and your party are jointly and individually responsible for any damage or loss resulting from your actions and are required to settle such charges directly with the relevant provider prior to departure. If payment is not made accordingly, you will remain liable for any subsequent claims against us, including legal fees and costs associated with recovering these amounts. Please note that we cannot take responsibility for the behaviour or actions of other guests or unrelated individuals outside of your booking.
We accept responsibility as the "organiser" under the Package Travel and Linked Travel Arrangements Regulations 2018 for the arrangements we provide or arrange for you, as outlined below and on your confirmation invoice. Accordingly, we are accountable for the proper delivery of all travel services included in your package. In accordance with these Booking Conditions, should we or our suppliers negligently perform or arrange any aspect of your services, and if we do not address or resolve your complaint within a reasonable timeframe—thereby affecting your enjoyment of the package holiday—you may be entitled to a suitable price reduction, compensation, or both. Please inform us without undue delay of any instances of non-performance or improper performance of the travel services included in your package. The level of any reduction or compensation will be calculated considering all relevant circumstances, including but not limited to adherence to the complaint’s procedure outlined here and how our employees’ or suppliers’ actions impacted your overall holiday experience. To pursue a claim against us, it is your responsibility to demonstrate that we or our supplier(s) have been negligent.
We are not liable and will not compensate you for injury, illness, death, loss, damage, expense, cost, or other claims resulting from:
Our liability for compensation is limited under this clause as follows:
Any payment made will take into account amounts received or receivable from the transport provider or hotelier regarding the relevant complaint or claim.
Liability acceptance is conditional upon notification of any claim to us and our supplier(s) in accordance with the established complaints procedure. Receipt of payment requires the recipient (and their parent/guardian if under 18) to assign us or our insurers any rights to pursue third parties, and to provide reasonable assistance as required.
We cannot accept liability for any damage, loss, expense, or other sums:
We do not accept responsibility for services or facilities not forming part of our agreement or not advertised on our website, including excursions booked independently or services provided by hotels or suppliers outside our contract with you.
If "unavoidable and extraordinary circumstances" make it impossible for you to return to your departure point on the scheduled date, we will provide necessary accommodation (where possible, of comparable standard) for up to three nights per person. The three-night limit does not apply to persons with reduced mobility, pregnant women, unaccompanied minors, or those requiring specific medical assistance, provided these needs are notified at least 48 hours before departure. For this clause, “unavoidable and extraordinary circumstances” include warfare, terrorism, significant health risks (such as serious disease outbreaks), or major natural disasters affecting safe travel back to your departure point.
Any excursions or trips you decide to book or pay for whilst on holiday are not included in your contract with us. For these activities, your agreement is directly with the operator providing the excursion or trip, not with us. We do not take responsibility for how the excursion or trip is delivered, nor for anything that happens while it is being provided by the operator.
In compliance with the Package Travel and Linked Travel Arrangements Regulations 2018, we ensure financial protection for all package holidays offered, through a dedicated account maintained by Santander.
Please note that bookings for services other than package holidays are not subject to financial protection. For further information, kindly contact us.
You are responsible for ensuring you meet all passport, visa, health, and immigration requirements relevant to your travel itinerary. We can only offer general guidance; it is important that you verify specific requirements for your situation with the appropriate Embassies, Consulates, or your doctor. These requirements may change, so make sure you’re up to date well before you depart.
Most countries now require passports to be valid for at least six months beyond your return date. If your passport is nearing expiration, confirm the rules with the Embassy of your destination country. For more details, contact the Passport Office at 0870 5210410 or visit www.gov.uk/browse/citizenship/passports. The latest travel advisories are available from the Foreign and Commonwealth Office at www.gov.uk/travelaware.
If you do not hold a British passport—including other EU nationals—seek current advice regarding passport and visa rules from the Embassy, High Commission, or Consulate of your destination country (and any through which you will transit).
We are not liable if you cannot travel or face losses due to failing to meet passport, visa, immigration, or health requirements. You agree to reimburse us for any fines or losses resulting from your non-compliance with these requirements.
Many of the services included in your holiday are provided by independent suppliers. These suppliers deliver their services under their own terms and conditions, which are incorporated into your contract with us. Certain provisions may restrict or exclude the supplier’s liability to you, typically in alignment with applicable International Conventions. Copies of these relevant terms and conditions are available upon request from either us or the respective supplier.
If you encounter any problems whilst on holiday, we will provide prompt and suitable support based on your situation. This includes offering information about health services, local authorities, consular assistance, help with communications, and finding alternative travel arrangements. However, if you need this assistance for reasons that are not due to our actions, or those of our staff or subcontractors, we do not cover the cost of alternative travel or related expenses. Suppliers or transport providers may offer refreshment or accommodation, and you should make claims directly to them. According to these Booking Conditions, we do not accept responsibility for any costs, fees, or charges you incur unless you receive our approval before arranging your own travel. We also reserve the right to charge a fee for our help if the issue was caused deliberately or by negligence from you or your party.
If you or any member of your party fails to meet a scheduled transport arrangement, if it is cancelled, or if you experience a delay exceeding three hours for any reason, you are required to contact both us and the relevant transport provider immediately.
We regret that we are unable to accept liability for any delays resulting from circumstances specified in clause 11 of these Booking Conditions.
You are responsible for checking Foreign Office advice on the safety of your travel destinations and making decisions accordingly. If the Foreign Office advises avoiding or leaving a country, this may be considered an Event Beyond Our Control (see clause 11).
